Author Guidelines
All authors are required to adhere to ethical standards and follow COPE guidelines when preparing and submitting manuscripts for AAPM-IV 2026.

The following guidelines must be strictly observed to ensure the quality and integrity of your submission.

1. Ethical and Submission Requirements
  • Ethical Conduct: Authors must comply with all COPE ethical guidelines throughout the manuscript preparation and submission process.
  • Originality: Manuscripts must represent original research and must not have been published or be under consideration elsewhere.
  • Self-Citation: Excessive or irrelevant self-citation is not permitted. References should include only those works directly related to the manuscript.
  • Overlap: If multiple papers by the same author(s) are accepted, significant overlap in content or concept between them is not allowed.
  • Manipulation: Any manipulation, including intentional citation padding, excessive similarity, or AI-generated content not properly disclosed, will result in immediate removal from the proceedings. No refunds will be issued in such cases.
  • Author List: The order and names of authors must remain unchanged between the initial submission and the final camera-ready version.

2. Manuscript Preparation
  • Template: Manuscripts must strictly follow the official single-column template available on the conference website.
  • Format: All manuscripts must be submitted as editable Microsoft Word documents. PDF submissions are only accepted if the manuscript was prepared in LaTeX and the PDF strictly adheres to the template. PDFs created from Word files will not be accepted.
  • Length: Manuscripts should not exceed the page limit (12 pages).
  • Language: Manuscripts must be written in clear, standard English. Authors are encouraged to have their work proofread, ideally by a native speaker.
  • Plagiarism: The similarity score of the camera-ready paper must be below 15-20%.
  • Title: The title should clearly and accurately reflect the content of the manuscript.
  • Author Information: List all authors’ names and affiliations. Do not include titles (e.g., Dr., Prof.) or designations (e.g., Lecturer, Research Scholar).
  • Corresponding Author: The email address of the corresponding author must be provided before the abstract.
  • Sections: Manuscripts should be well-organized and include relevant sections such as abstract, introduction, methodology, results, discussion, conclusion, and references.
  • Third Person: Do not use first-person pronouns (I, we, us) in the manuscript.
  • Acknowledgements: Do not acknowledge co-authors or affiliated institutions in the acknowledgements section.

3. Figures, Tables, and Equations
  • Figures and Tables: All figures and tables must be numbered sequentially, captioned, and cited in the text. They must be of high resolution and clarity.
  • Equations: Use an equation editor for all mathematical expressions and number them sequentially.
  • Citations: All figures, tables, equations, and references must be cited in the text.

4. References
  • Relevance: Include only references directly related to the manuscript.
  • Format: Reference lists must strictly follow the conference’s unique template. Do not include DOIs.
  • Structure: Each reference should include author names, paper title, journal/conference name, pagination, volume/issue number, and year of publication.
  • Verify Every Reference: Ensure that each reference listed in your bibliography corresponds to a real, published work. Do not include citations to works that do not exist or cannot be verified through reputable academic databases and publisher websites.
  • Check Citation Details: Double-check all bibliographic details—including author names, article titles, journal/conference names, publication years, volume/issue numbers, and page numbers—against the original source. Even minor errors (such as incorrect years or volume numbers) can be problematic.
  • Avoid Fabricated or Falsified References: Never fabricate references or alter publication dates, titles, or author names to make citations appear more current or relevant. Such practices are considered serious academic misconduct and will result in the rejection of your manuscript.
  • Use Only Relevant References: Include only those references that are directly relevant to your research. Do not pad your reference list with unrelated or superfluous citations.
  • Limit Self-Citation: Use self-citations only when your previous work is directly relevant to the current manuscript. Excessive or irrelevant self-citation is not permitted.
  • Be Cautious with AI-Generated Citations: If you use AI tools (such as ChatGPT) to assist with literature reviews or citation generation, always verify the accuracy of each citation yourself. AI tools have been known to generate fabricated or incorrect citations at a significant rate.
  • Review Reference Lists for Errors: Before submission, thoroughly review your reference list for any inconsistencies or errors. Ask a colleague or mentor to double-check if possible.
  • Adhere to Conference Reference Formatting Guidelines: Follow the conference’s specific formatting requirements for references. Do not include DOIs unless explicitly allowed.

5. Submission
  • Camera-Ready Paper: Final camera-ready papers must be submitted as editable Word documents to the official conference email address.
  • Timeliness: Submit camera-ready papers promptly to ensure timely processing.
Strict Peer-Review Process for AAPM-IV 2026
Step-by-Step Review and Selection Process

Step 1: Initial Receipt and Assignment
  • Submission: Only full-length manuscripts will be considered for review; abstracts alone are insufficient.
  • Paper ID: Each submission will be assigned a unique Paper ID within one working day. Authors must contact the TPC if a Paper ID is not received within this timeframe.
  • Acknowledgment: Upon receipt, authors will receive a confirmation email with their Paper ID and submission details.
Step 2: Initial Screening
  • Technical Program Committee (TPC) Review: The TPC will conduct a strict initial screening, including:
  • Relevance: Alignment with conference topics and tracks.
  • Plagiarism Check: Mandatory plagiarism screening using advanced software. Only submissions with a plagiarism score below 15-20% will proceed.
  • Organization and Quality: Assessment of manuscript structure, clarity, and the quality of figures, diagrams, illustrations, and equations.
  • Outcome: Manuscripts failing any of these criteria will be immediately rejected and will not proceed to technical review.
Step 3: Technical Peer Review
  • Reviewer Assignment: Only manuscripts that pass initial screening will be sent to expert reviewers in the relevant field.
  • Double-Blind Review: Both authors and reviewers remain anonymous throughout the process.
  • Review Criteria: Reviewers will evaluate technical soundness, originality, scientific merit, methodology, results, and adherence to conference guidelines.
Step 4: Revision (if required)
  • Notification: Corresponding authors will be notified of the review outcome, including any required revisions.
  • Deadline: Revised manuscripts must be submitted within fifteen (15) days of notification. Late submissions will be rejected without exception.
  • Revision Quality: Authors must address all reviewer comments comprehensively and clearly indicate all changes made.
Step 5: Re-Review of Revised Manuscripts
  • Reviewer Re-Evaluation: Revised manuscripts will be sent back to the original reviewers to ensure all suggested corrections have been implemented.
  • Minor Revisions: If only minor revisions are required, the TPC will make a final recommendation to the Organizing Chair.
  • Major Issues: Manuscripts with unresolved major issues will be rejected.
Step 6: Final Decision
  • Organizing Chair Approval: The Organizing Chair will make the final decision based on reviewer and TPC recommendations.
  • Notification: Corresponding authors will be informed of the final decision (acceptance or rejection).
Step 7: Camera-Ready Paper Submission
